Ledgers, journal vouchers and your chart of accounts

The double-entry layer under your invoices and expenses: the chart of accounts, a running ledger per account, and manual journal vouchers that will not post unless they balance.

Underneath every invoice, payment and expense, Finocket keeps a real set of double-entry books: a chart of accounts, a ledger per account, and manual journal vouchers for anything the day-to-day screens can't express. This guide covers that layer, where your accountant works.

The chart of accounts

Accounts shows your whole chart as a collapsible tree: every group with its debit and credit totals, every account with its closing balance. Tap an account to open its ledger.

  • Add your own accounts and sub-groups. Codes are suggested for you, and the built-in accounts are protected so the structure your reports depend on can't be pulled apart.
  • Search by account name or code to jump straight to a ledger.
  • Every Trial Balance, Profit & Loss and Balance Sheet line drills into these same ledgers. The report and the ledger can never disagree, because they are the same rows.

An account's ledger

Books → Ledger is one account's full story for the period: opening balance, every posting with a running balance, closing balance.

  • Each row names where the posting came from (Invoice, Payment, Expense, Journal, or the opening balance), with its invoice or voucher number alongside.
  • Tap an invoice, payment or expense row to open that document. Tap a journal row and the voucher opens in a sheet, narration and all, without leaving the ledger.
  • Balances read the accountant's way: ₹ figures suffixed Dr or Cr against the account's normal side, not a bare plus or minus.
  • The CSV export gives you exactly what you are looking at: same period, same rows, opening and closing included.
  • Arrive without an account, or with a code that no longer exists, and you get a picker rather than an error.

Journal vouchers

A journal voucher is a manual entry posted straight onto your books, with debits on one side and credits on the other. Open Add → Journal.

  1. Pick the voucher type first. Journal for any adjustment, Payment for money out, Receipt for money in, Contra to move money between your own cash and bank, Debit note for a purchase return.
  2. Add your lines (two minimum) and set each to Dr or Cr.
  3. Watch the footer. It keeps a running Debit total, Credit total and Difference, and Save only enables on Balanced. An unbalanced voucher cannot be posted at all.

Problems are listed all at once above the footer rather than one per attempt, so you fix the whole entry in one pass. Missing an account? Type a new name in the picker and create it inline. Finocket files it under the right group and tells you which one.

A line on Sundry Debtors or Sundry Creditors offers an optional client link, so the entry also shows up against that party. Splitting a line across cost centres needs the Cost centres module on plus write access to it; without both, the split control simply isn't offered.

What this screen will not do

  • It will not post an unbalanced voucher. Save stays disabled until debits equal credits, and nothing is parked in a suspense account.
  • It will not let a view-only teammate save. They can fill the form; the server refuses the write.
  • It will not delete a built-in account that your reports are built on.
  • It does not reverse a posted voucher for you. Post an equal and opposite entry, so both sides stay on the record for the audit trail.

Frequently asked questions

How do I post a manual journal entry?

Open Add → Journal, pick the voucher type, add at least two lines and set each to Dr or Cr. The footer keeps a running debit total, credit total and difference, and Save only enables once the two agree.

Why is my journal Save button disabled?

Because the entry does not balance. Finocket will not post an unbalanced voucher at all, not even with a warning or into a suspense account. The footer shows the exact difference.

Can I create an account without leaving the voucher?

Yes. Type a new name in the account picker and create it inline. Finocket files it under the right group and tells you which one.

How do I reverse a journal voucher I posted by mistake?

Post an equal and opposite entry. Finocket does not delete a posted voucher, so both the mistake and its correction stay on the record, which is what an audit trail is for.

Do the Tally voucher shortcuts work?

Yes: F7 Journal, F5 Payment, F6 Receipt, F4 Contra and Alt+F5 Debit note switch the voucher type from anywhere on the screen. Setting Accounting terminology to Accountant also turns the ledger into Ledger Vouchers with a Tally-style header.

Why did changing the period on the ledger change my Trial Balance too?

They share one books period on purpose, so you can never compare two reports cut over different dates without noticing.
